Give every request a clear next action.

Replace the awkward part of a spreadsheet-and-inbox process with a small application your team can understand.

Follow one case all the way through

Before designing a dashboard, we trace a real request from arrival to completion. Who checks its details? What changes after approval? Where does an incomplete case wait? This reveals the decisions that software must support and the exceptions that still need a person.

The scope may include request intake, assignment, status changes, attachments, approvals, reminders and searchable history. We keep customer-visible progress separate from internal notes. Access is designed around actual responsibilities, including staff departures and temporary cover.

Make changes explainable

A status label is useful only when staff agree what it means. We define the information needed to move a case forward and what should happen when a decision is reversed. Record history helps a colleague understand why an order or task changed without relying on the original operator being available.

Introduce the application in a manageable slice

Start with one team or request type. Use sample cases that are incomplete, duplicated, late or reassigned. Keep the existing fallback available while staff compare the new workflow against a normal working day. Agree who can approve a wider rollout and who handles problems after release.

A useful first brief includes one blank form, an anonymised completed case and the spreadsheet columns people keep adding. For a connection between tools rather than a new staff screen, see integration development.
